The short version

Zoho Flow starts free (100 tasks/month), with Standard at $25/month billed annually for 5,000 tasks per organization and unlimited users — and only action steps count against the allowance.

Buy it if

Your CRM, books or helpdesk already live in Zoho (or Zoho One, which includes Flow), and you want per-organization pricing with no seat maths.

Skip it if

Your stack is mostly non-Zoho apps needing premium connectors at low volume, or you need a catalogue the size of Zapier's.

What Zoho Flow does — the jobs it finishes

Workflows are built only from verified capabilities in our listing research — no vendor copy, nothing invented.

New Zoho CRM deal to invoice and alert

Starts A deal is won in Zoho CRM

  1. The flow creates the invoice in Zoho Books
  2. A notification goes to you and the record is logged

You get Won deals that invoice themselves

Native Zoho-to-Zoho flows are the platform's home ground

Branching lead handling

Starts A new lead arrives from a form or app

  1. A Decision branches on lead value or source
  2. High-value leads get a task and an alert; others get a template email via Send Mail

You get Leads routed by rules you set once

Decisions and delays do not consume tasks — only the actions do

Local database sync (Professional)

Starts A schedule or an app event fires

  1. The on-prem agent runs the flow against a local SQL database or on-prem app
  2. Results are written back to your cloud apps

You get Local data synced without exposing the database to the internet

On-prem integration at a $41/month tier is unusual in this category

Self-healing failed runs (Professional)

Starts A flow execution fails on a transient error

  1. The error branch runs your fallback sequence
  2. Auto rerun retries the failed execution

You get Transient failures recovered without you noticing them

Error handling is a designed branch, not a log you discover later

Where it stops

  • Catalogue (1,000+ apps) is well short of Zapier's 9,000+
  • No self-hosted edition — the on-prem agent connects local apps to Zoho's cloud
  • Polling triggers check every 15 minutes on Free/Standard, 5 on Professional — not real-time

Getting started

Before you start

  • A Zoho account (Flow is included in Zoho One if you already pay for it)
  • The Free edition or 15-day trial is enough for a first flow

The ongoing admin

  • Watch task counts on multi-action flows — actions, not runs, are the meter
  • Decide on overage deliberately: enable it with a daily limit, or let flows pause at the allowance
Step 1

Generate or build the first flow

Describe the job to Zia in plain English for a draft flow, or drag the trigger and actions onto the canvas yourself.

Step 2

Map data and add decisions

Map fields between steps, then add Decision, Delay or Set Variable logic — none of it consumes tasks.

Step 3

Test, debug, then switch on

Use the built-in test and debug tools and check the history view before the flow carries real orders.

Billed per task, per organization (unlimited users): a task is one successful execution of an action in a flow; triggers, decisions, delays and custom functions are free. Free: 100 tasks/month, 5 flows. Standard: from 5,000 tasks/month at $25/month billed annually ($29 billed monthly), with larger task volumes selectable up to 5M. Professional: from 10,000 tasks/month at $41/month billed annually ($49 billed monthly). Yearly billing saves over 15%; overage can be enabled so flows keep running past the allowance.

What could make the bill jump?

Only actions count — but a busy flow with several actions per run still multiplies: one trigger with two actions run 5,000 times is 10,000 tasks. Premium apps are gated to Professional, so one needed connector can force the tier jump.

Best for

  • Businesses already running on Zoho apps or Zoho One
  • Founders who want unlimited users under one organization price
  • Anyone needing on-premise or database integration cheaply

Not for

  • Stacks centred on apps outside Zoho's 1,000+ catalogue
  • Real-time jobs — polling is 5-15 minutes
  • Founders who need premium connectors on the cheapest tier

Our assessment of Zoho Flow

As of November 2026, Zoho Flow starts free (100 tasks a month, 5 flows), with Standard at $25/month billed annually ($29 monthly) for 5,000 tasks and Professional at $41/month billed annually ($49 monthly) for 10,000 tasks — priced per organization with unlimited users, which quietly removes the per-seat maths every rival makes you do. A task is one successfully executed action; triggers, decisions, delays and custom functions are not charged, so a branching flow costs what it does, not how it thinks. The builder is a drag-and-drop canvas with decision branches, delays, subflows, outgoing webhooks and an error branch, plus custom functions written in Deluge for the jobs the blocks cannot express. Professional adds premium apps, on-premise integration (including SQL databases and SAP apps via an on-prem agent), auto-rerun of failed executions and 5-minute polling against Standard's 15. Zoho's AI, Zia, can generate a flow from a plain-English description and adds summarise-and-generate text steps and agentic actions. The obvious fit is a business already on Zoho CRM, Books or Desk — Flow is also included in Zoho One — while a founder whose stack lives elsewhere gets a competent but less sprawling catalogue of 1,000-plus cloud and on-prem apps.

Pros — our take

  • Per-organization pricing with unlimited users — no per-seat creep
  • Only actions count as tasks; decisions, delays and custom functions are free
  • On-premise and database integration on Professional is rare at this price

Cons — our take

  • Premium apps are locked to Professional
  • Catalogue depth trails Zapier and Make
  • Best value only really lands if your stack is already Zoho-heavy

Solo Fit stays the public score: the qualitative roll-up of these four published inputs under the How We Rank method. Per-organization pricing and free logic steps carry it; the Professional gate on premium apps is the trade.

Three to compare before you decide

Zapier$129/mo · Solo-Ready

The difference: Zapier's catalogue is roughly nine times larger and priced per user on team plans; Zoho Flow prices per organization with unlimited users and wins inside a Zoho stack.

Make$9/mo · Solo-Ready

The difference: Make's canvas is more powerful for complex branching and starts cheaper, but counts every module including the trigger — Zoho counts only actions.

n8nSee pricing · Technical

The difference: n8n offers a free self-hosted edition and bills whole runs as one execution; Zoho Flow is cloud-only but needs no server or maintenance.

Questions buyers ask about Zoho Flow

What does Zoho Flow cost for one person?

Free covers 100 tasks a month and 5 flows. Standard starts at $25/month billed annually ($29 billed monthly) for 5,000 tasks, and Professional at $41/month billed annually ($49 billed monthly) for 10,000 tasks — both priced per organization with unlimited users, and larger task volumes are selectable on the same plans.

How does Zoho Flow count a task?

A task is one successful execution of an action in a flow: a flow with one trigger and two actions run once costs two tasks. Triggers, decisions, delays and custom functions do not count, which makes branching flows cheaper than their shape suggests.

What happens if I exceed my task allowance?

If you enable overage, workflows keep running and extra tasks are charged at the end of the billing cycle — you only pay for what you use, and you can set a daily task limit. Without overage, flows pause at the allowance.

Is Zoho Flow included in Zoho One?

Yes — Flow is part of Zoho One at no additional cost, so existing Zoho One subscribers can start building flows immediately without a separate subscription. Standalone, the 15-day free trial covers all premium features.
